Motus is a trading name of Vimal Mistry Coaching Ltd, a company registered in England and Wales under company number 12638192. You can contact us about this privacy policy or your personal data by emailing info@vmistrycoaching.com. We are the controller of your personal data for the purposes described in this policy. We do not currently have a Data Protection Officer, and we do not have a UK representative because we are established in the United Kingdom.

This policy applies to personal data collected through our website at vmistrycoaching.com, our contact and enquiry forms, checkout pages, newsletter sign-up forms, coaching intake forms, weekly check-in or feedback forms, email, SMS, social media messages, video calls, in-person events, retreats or immersion sessions, and our coaching and programme platforms.

Motus provides weight loss, fitness, online personal training, and coaching services. We offer physical and digital products, including the Motus Kit, Motus Essentials, monthly membership options, and 1:1 or group coaching services. We use third-party platforms to help deliver these services, including PT Distinction, Calendly, MailerLite, Google Workspace, and Stripe.
4. The personal data we collect
We may collect personal data such as your name, email address, telephone number, postal address, and any other contact details you choose to provide to us. We may also collect transaction and order information, including purchase details, subscription details, order history, and payment-related records such as receipts. Payment card and payment processing information is processed and stored by Stripe, specifically Stripe Payments UK Ltd, company number 08480771, rather than directly by us.
We may collect account and platform data linked to your use of our services, including account-related information connected with PT Distinction. PT Distinction is provided by P T Distinction Limited, company number 08413544. We may also collect technical and usage data, including your IP address, browser type, device information, cookie data, website usage information, and analytics data collected through tools such as Google Analytics.
For coaching and programme delivery, we may collect fitness goals, health-related information, injury information, PAR-Q responses, age, height, body weight, body measurements, progress photos, food and drink photos, exercise technique videos, nutrition information including calorie and macronutrient data, progress updates, and messages or notes shared through email, app messaging, Telegram, or social media. We may also collect marketing and communication data, such as your preferences for receiving marketing, records of your consent choices, and your communication history with us. We will only collect and use testimonial content where you have given permission in writing.
5. Special category data
Some of the data we process for coaching and programme delivery may amount to special category data, including health-related data. We process special category data only where an Article 6 lawful basis applies and an Article 9 condition for processing is met, including explicit consent where appropriate. These may include Stripe Payments UK Ltd for payment processing, MailerLite for email marketing, web pages, forms, and related communications, Hostinger for domain and hosting-related services, Google Workspace for business email and related services, Google Sheets for internal administration and customer management, P T Distinction Limited for programme delivery and client account management, Calendly for bookings and appointment scheduling, Royal Mail, DPD, InPost, Yodel, and Evri for product delivery and fulfilment, Instagram and Facebook for communication, marketing, community engagement, and advertising activities, Google Analytics for website analytics and performance measurement, and RPS Accountants Ltd, company number 12640029, for accounting and financial administration.
We may also use additional third-party service providers from time to time to support our business operations, service delivery, communications, hosting, payments, analytics, marketing, administration, or customer support. Where we do so, we will update this policy or otherwise tell you as required. 15. How long we keep your data
We keep personal data only for as long as necessary for the purposes described in this policy or as required by law. Our standard retention periods are as follows. Customer orders and receipts are kept for 6 years. Finance and accounting records are kept for 6 years. Coaching records are kept for 3 years after the coaching relationship ends. Health and progress data are kept for 3 years after the coaching relationship ends. Marketing leads are kept until you unsubscribe or after 24 months of inactivity. Support emails are kept for 2 years after closure. Website logs are kept for 12 months. Cookies are retained according to provider settings and your consent choices. We may retain data for longer where necessary to comply with legal obligations, resolve disputes, enforce our agreements, or protect legal claims.
16. Your rights
Under the UK GDPR, you may have the right to request access to your personal data, request correction of inaccurate or incomplete data, request erasure of your personal data, request restriction of processing, object to processing, request data portability in certain circumstances, and withdraw consent at any time where we rely on consent.
